Classroom Recording Working Group

The Classroom Recording Working Group was established through a Letter of Understanding in the 2022-2025 Collective Agreement (see Appendix Q, page 218) and is tasked with examining the opportunities and challenges associated with classroom lecture recording at UVic. The group will conduct a review to understand how classroom recording can support teaching and learning, while also considering aimed at enhancing accessibility in education.
As part of its mandate, the Working Group will produce a set of recommendations for consideration by the Vice-President Academic and Provost, informed by an institutional analysis of both the benefits and limitations of lecture recording, to guide the university’s approach in this evolving educational landscape. As per the Letter of Understanding, the Provost will have six months to respond to the recommendations, and to make a recommendation to Senate on matters related to academic policy.
The work led by the Working Group is part of an ongoing commitment to accessibility and providing a positive teaching and learning environment. This initiative aligns with the university’s broader accessibility and inclusivity goals, as outlined in the UVic Accessibility Plan and Equity Action Plan.
Mandate
The Working Group’s mandate is to review the results of the Fall 2022 Instructor Survey on Lecture Recording and identify best practices and challenges related to classroom recording. Additionally, the Working Group will propose recommendations related to classroom recording that could inform a UVic policy or guidelines. This will include determining contexts where classroom recording is appropriate or not. The Working Group will also evaluate the necessary infrastructure for effective classroom recording and make recommendations regarding the appropriate training and support needed for faculty and instructors to successfully integrate this technology into their teaching.

Process
The Working Group is conducting a comprehensive review of the current state of lecture recording at UVic, seeking input from faculty and instructors through an institution-wide survey. This survey will gather valuable feedback on experiences with and perceptions of lecture recording practices.
In addition to collecting this input, the Working Group will carry out an environmental scan to assess the university’s current infrastructure, including available lecture recording technologies, support systems, and resources. By integrating both perspectives, the Working Group will develop a set of informed recommendations to guide UVic’s approach to classroom recording moving forward.
Project Milestones
Since its establishment in Fall 2024, the Classroom Recording Working Group has been in the initial stages of gathering information to inform its work. The Working Group is currently preparing to conduct an Environmental Scan in December 2024, to assess the university’s existing lecture recording technologies, infrastructure, and support systems.
In January 2025, the group will administer an institution-wide survey to gather feedback from faculty and instructors regarding their experiences and perspectives on classroom lecture recording. Following this, the Working Group will analyze the survey results and issue a report summarizing the findings. Based on this comprehensive review, the group will develop a set of guidelines and recommendations for the Provost’s consideration, aimed at shaping the future of classroom recording practices at UVic and ensuring a positive experience for students, faculty and staff.
