How to Apply: Climate and Sustainability Fund Application

Step 1: 

Identify if your project should be funded through the Climate and Sustainability Fund or the Revolving Sustainability Loan Fund.

Climate and Sustainability Fund vs Revolving Sustainability Loan Fund involve a different application and review process. Energy and water savings projects, which provide a direct financial return to the University should be considered for the Revolving Sustainability Loan Fund.

Step 2: 

Pre-screen your project by answering the following questions. 

  1. How does this project align with the Universities
  2. Who are the key individuals and departments involved in the successful implementation of this project?
  3. What impact do you expect this project to have on campus and how will you measure it?
  4. What is the anticipated funding request? Please note that applications requesting over $1000 will be reviewed by a Review Committee and require final approval from AVP Financial Planning and Operations.

Project Eligibility:

The Climate and Sustainability Fund (CSF) welcomes participation from all current UVic staff, faculty, and students who are dedicated to advancing projects in alignment with the Climate and Sustainability Action Plan (2030). Key eligibility criteria include:

  • Projects should focus on time-limited sustainability and climate initiatives within the campus.
  • Project teams must secure support and necessary permissions from relevant stakeholders before commencing the project. CSF funding does not replace the need for official approvals.
  • Approved funding is accessible throughout the project's timeline, as specified in the project application. Any remaining funds will be redirected to the CSF.
  • Funding follows UVic's accounting policies, procedures, and financial reporting.
  • Discontinuation of funding may occur at the CSF's discretion.

Funding Eligibility:

CSF funding is applicable for the following purposes:

  • Salaries for co-op students, part-time staff, etc., essential for project execution.
  • Materials, supplies, and equipment (e.g., workshop materials, restoration tools, paper).
  • Marketing expenses (e.g., printing, advertising).
  • Transportation costs (e.g., mileage reimbursements, ferry travel, public transit, bike rentals).
  • Incentives (e.g., prizes, giveaways).
  • Event expenses (e.g., food, venue rental, audio-visual, speaker gifts).
  • Honorariums and stipends.

Project Completion and Reporting:

For all reporting needs, the Office of Campus Planning and Sustainability (OCPS) will supply templates and guidelines to ensure consistency and completeness.

  • Funding recipients are obligated to submit the following documentation:
  • Project status and implementation updates at each milestone, using the provided template and meeting OCPS requirements.
  • A final report at the project's conclusion, adhering to the template and OCPS requirements.
  • Brief status reports at project milestones, detailing project status and implementation progress.
  • Submission of receipts and budget tracking at the project's end and as requested by OCPS during the project.
  • At least one project photo for promotional purposes by OCPS and the CSF.
