You can update your personal information such as preferred name, contact information or UVic directory listing in your Online Tools profile.
Change your preferred name
When you apply to study or work at UVic, your name is recorded in our central information systems. This name usually matches what appears on your government-issued ID and is your legal name at UVic. Legal name is sometimes referred to as "name of record".
If you set a preferred name, it’ll be used instead of your legal name in most UVic’s apps and systems. This includes email, Brightspace, Zoom, Microsoft 365 and the UVic Directory. Your legal name may still appear in apps that are still being updated. If you notice somewhere your preferred name doesn’t show up, please let the Computer Help Desk know!
Change your contact information
In Your Profile, you can:
- add or remove phone numbers
- add or remove email addresses
- set your preferred email address
- set your mailing address
Why is my email address “restricted”?
In order to comply with FIPPA, employees must use an @uvic.ca email address as their preferred address. You can add an external email address to use if you ever need to reset your passphrase or recover access to your account.
In addition, employees must not forward their UVic email address to non-UVic email addresses. Former employees are also not allowed to forward their UVic email address when they leave the university. This information is detailed in University Policy IM 7200 - Acceptable Use of Electronic Information Resources.
Change your information in the UVic Directory
Only full-time UVic employees are listed in the UVic Directory.
Your name, preferred email address and the department(s) you work for are always listed in the directory. Your department’s directory administrator can change how you appear in the department’s list (for example, your listed job title).
UVic Directory will use the preferred name and prefix you set in Your Profile. Otherwise, it will list your legal name and no prefix. You can choose an office location, phone number, website and comment to display in the UVic Directory in Your Profile. These are optional.
Change your legal name or gender identity
When you apply to study or work at UVic, your name is recorded in our central information systems. This name usually matches what appears on your government-issued ID and is your legal name at UVic. Legal name is sometimes referred to as "name of record".
If you’re a student, you can change your legal name or gender identity through the Office of the Registrar. Continuing Studies students can contact .

Who can see my personal information?
Students
Your instructors, TAs and classmates will be able to see your name, NetLink ID and preferred email address in Brightspace and other teaching and learning systems. If you’ve set a preferred name, that is the name they will see. Only authorized staff will have access to any other information from your account.
Employees
Students, employees and the general public will be able to see your NetLink ID and any information published in the UVic Directory. This includes your name, prefix, email address, department and optional contact information. If you’ve set a preferred name, that is the name they will see. Only authorized staff will have access to any other information from your account.
