How to apply

Our recruitment process often takes 3-5 weeks depending on the position. It may include up to 5 stages:

  • applying for a job online
  • screening and assessments
  • interviews
  • reference checks
  • offer of employment

Hiring takes place within each department. Human Resources does not provide information about the hiring manager.

The hiring department will directly connect with you if you are selected to move into the next stage of the competition.

Eligibility requirements

Before you apply for a position, you must meet the eligibility requirements. All positions at the 番茄社区 require applicants to be at least 16 years old and eligible to work in Canada.

To be eligible to work in Canada, you must be a Canadian citizen or permanent resident of Canada or authorized in writing to work in Canada under the federal Immigration Act.

Eligibility to work in Canada is granted through citizenship, permanent resident status or a work permit.

You must be a Canadian citizen or permanent resident to accept a permanent job offer (unless stated otherwise in the posting).

If you have a valid temporary work permit, you may be eligible for temporary work, but only until your work permit expires or is renewed. For information on temporary work permit requirements, visit .

Other eligibility criteria may be stated in the job posting.

Applying for a job online

  1. Log into , our online job management system.
    • Create a
  2. You will be taken to the Career Centre.
  3. Under job search, select “search jobs.”
  4. If you see a position that interests you, select the job title to view the job details. For most positions, a more detailed job description will be attached at the bottom of the posting.
  5. Select the “apply to this job” button at the bottom of the page.
  6. Follow the steps to complete your application. After you click “upload resumé”, the system saves a plain version of your resumé for easy previewing. It also saves your resumé in PDF format. 
  7. Review your application on the preview screen. It will appear in plain text but the selection committee will see the formatted resumé that you have attached.
  8. Click into the resumé text box to make edits.
  9. When you are satisfied with your application, select the “finish” button to submit your application.
  10. You will receive a message that you have successfully completed the application process.

Current UVic employees applying for a position through the UVic Careers system must sign in using their NetLink ID for the system to recognize you as an internal applicant.

Pay & salary information

When viewing postings in UVic Careers, salary ranges for the various employee groups are as follows:

CUPE 917/951

  • job postings include the starting wage and post-probationary wage amount

PEA/ME/Exempt

  • job postings include the full salary range
  • the About this Opportunity section includes the recruitment range for the position and the performance range
    • recruitment range – UVic’s reasonable expectation of pay for the job at the time of posting
    • performance range – the maximum salary available for this position achieved through annual performance increases

Casual

  • job postings include the hourly wage rate under About this Opportunity

Manage your application

Log into the Career Centre any time to check your submission history under “my resumé/resumé submission history.” You can also check the status of your current applications there.

You can log in and edit your resumé/CV profile or personal information any time. The hiring manager will review your resume as it is on the posting close date.

You don’t have to complete your application in one session. As long as you save your work, you can log in to UVic Careers later to complete your resumé, cover letter and application. Please note that all postings close at 4:00 p.m. on the posting close date.

Resumés

A well-written resumé will help to sell your skills and abilities.

  • list your work experience in reverse chronological order – begin with your most recent job
  • highlight your strengths by explaining your accomplishments and achievements, rather than simply listing your duties
  • customize your resumé for the job you are applying for and explain how your skills and abilities meet the key qualifications in the job posting
  • align your skills and experience with the job description
  • tie your work directly to the role qualifications
  • if you are a recent university graduate or have limited work experience, include school-related projects or coursework that demonstrate relevant skills and knowledge

Cover letters

Please note that once you have submitted your application, you can no longer make any modifications to your cover letter in the Cover Letter Contents box. Please proofread before submitting.

You may address your cover letter to the “Hiring Team”.

You need to submit a separate application for every competition you want to apply for. However, you will need to use the same resumé for all your applications unless you want to make changes to the resumé/CV profile you have saved.

You can also attach supporting documents (portfolios, letters of reference, certificates, etc.) to your application. After you have created a resumé/CV profile, go to the Career Centre tab and select “my resumés/attachments.”

You can upload up to 10 documents of your choice. If you are actively applying for jobs, please make sure you regularly manage your attachments and delete old attachments for positions that have been filled.

If you are applying for multiple positions, be aware that hiring managers can view all versions of your cover letter or application in the system. They are aware of the confidentiality and will only review the documents you intended for the specific competition. Please make sure to title your attached documents clearly.

Sign up for UVic Careers notifications

You can create job search agents from the Career Centre menu. A job search agent lets you save a search for a particular job opportunity. Once you've set up a job search agent, you'll be notified when a job that matches your search criteria is posted on the UVic Careers site.

Screening & assessments

Applications are initially reviewed and screened to ensure they meet the minimum requirements described in the job posting. Read the job description carefully to get an idea of what you may be assessed on.

If you’re under consideration for a position, you will receive an email from the hiring department outlining next steps.

Interviews

Before an interview with us, we recommend that you:

  • review our website and social media channels to learn more about who we are, what we do and what our values are
  • re-read the job posting and be prepared to show us how your knowledge, skills and abilities fit the position
  • learn a bit about the interview panel and who will be interviewing you
  • prepare questions about the position that you would like to ask the hiring team

Our interviews are often conducted as a panel interview. Panel members will ask you a set of pre-determined questions that reflect the knowledge, skills and abilities noted in the job posting. Most of our questions are behaviour based, where we want to hear about your past experiences and how you dealt with specific situations.

  • Situation - Tell us about the situation.
  • Task - Give specifics as to what was required. What was the goal you were working toward?
  • Action - What did you do? What skills, behaviors, or characteristics did you exemplify? Focus on your contributions and how you helped achieve results.
  • Result - What was the outcome? What did you learn from it?

Every candidate is assessed using clear rubrics. We use those rubrics for everyone being considered for that role, so that everyone is evaluated from the same perspective, allowing their distinctiveness to emerge.

Reference checks

We do a reference check at the final stage in the recruitment process. This is usually to verify your application rather than to help decide.

References are people who know you and can validate your qualifications, work experience, skills or character.

Work references can include: 

  • a manager or supervisor
  • a direct report
  • academic reference
  • a colleague 
  • a client/customer

In the absence of work references, you may use character references instead. Character references are people who you have interacted with socially and can speak to your attributes such as honesty, reliability, or hard work. They can include teachers, friends, clients or neighbours. 

Offer of employment

If you are the successful candidate of a job opportunity, we will reach out to you and discuss the details of the job offer and how to prepare for your first day with us.

This will be followed up with an offer letter and all the necessary instructions and documents to get you onboarded as a new employee.

Frequently asked questions

If you are a current UVic employee, an account will be automatically created for you. You’ll need your NetLink ID and password to log in. You will need to ensure that your UVic email is set up as your preferred email on your staff profile.

If you’re not a UVic employee, you’ll need to set up a user email and password.

If you are already an employee or student and you have a NetLink ID, you may use a computer workstation in the Mearns Centre (McPherson Library). 

Otherwise, you can go to any Greater Victoria Public library to use a public workstation. Another option for you to consider is to for free self-serve services that entitle you to use computers in their various centres for job search related work.

UVic uses a number of business applications to support the university’s business needs. You may see these ones in job descriptions:

  • the Millennium FAST (Fast Administrative Support Tools) Suite is an administrative software solution developed for the higher education market
  • the university’s centralized ERP (enterprise resource planning) system
  • the centrally-managed web content management system (WCMS) UVic uses to manage and publish website content

You can apply online or visit any of the student computing facilities on campus for help.

You don’t have to, but if you use a non-UVic user name and password, the system won’t recognize you as an internal applicant. If you want your internal employee status reflected on your application, you must log in with your NetLink ID.

You must be a member of CUPE 951 or CUPE 917. Please review the collective agreements for your employee group for more details.

If you qualify to apply for an internal CUPE competition, you must log into the UVic Careers system with your UVic ID and include your employee number when completing the application form. If you don’t, the system will not recognize you as an internal applicant.

New opportunities are posted Monday to Friday.

UVic collects your personal information in any application in order to assess your qualifications and suitability as a potential employee of UVic. Your information will be reviewed by Employment Services staff at Human Resources and UVic managers with hiring-related duties within the department you’re applying to. UVic will not disclose this information to third parties unless we are legally required to do so.

UVic respects your right to privacy and we take our responsibilities regarding the collection, use and disclosure of your personal information seriously. UVic is subject to the BC Freedom of Information and Protection of Privacy Act (FOIPPA). We have made appropriate security arrangements to protect the personal information in our care against risks like unauthorized access, collection, use, disclosure and disposal.

We collect and analyze confidential equity data to monitor our progress towards achieving an equitable workforce and to advance employment equity.

This data also allows us to fulfill reporting requirements connected to our special program with the Office of the BC Human Rights Commissioner which encompasses UVic’s right to conduct limited and preferential hiring searches for designated groups.

Currently, the groups which fall under the purview of this program are: women; Indigenous peoples; persons with disabilities; members of visible minorities; and Black identifying individuals.
